TPP have offered a large number of training videos for SystmOne during the covid pandemic.
Please note: once you have followed the link to the website, the videos will be grouped into separate Playlists on the page. There is also a tab saying videos, the videos are not found under this tab due to how they chose to display the content.
The two playlists that might be particularly useful for returning staff or staff that have never used SystmOne before are the following:
- SystmOne Basics Playlist (covering logging on, basic navigation, basic appointment booking etc)
- SystmOne Essentials - Clinicians Playlist (covering the standard functionality that is used by clinical staff)
- They have also added the main playlists link to the FAQs screen in SystmOne.
- Learning and Development have built an eLearning module which demonstrates the basic functionality of SystmOne. This module covers the following areas:
- Getting access
- Basic User Interface navigation and orientation
- Searching for a patient
- Retrieving patient records and accessing information within
- A look at the Administration and Clinical "Trees"
To access this module, log into ESR, go to your eLearning home page and search Learning Certifications for: 439 elearning SystmOne Introduction Certification
A second module is planned (which will be released later this year, or in early 2020) exploring more of the basic features of SystmOne. This will be advertised via the internal Week Ahead bulletin email when live.
Data Security and IG training forms part of the Core Essential Training requirements of the Trust.
This training is particularly important as it also forms part of our IG Toolkit Submission which provides assurance that the Trust can be trusted to maintain the confidentiality and security of personal information.
All staff must successfully complete their annual Data Security and IG training via eLearning through ESR.
Most staff will have been auto enrolled onto the correct course and will see on the ESR homepage an icon to press play to complete the Data Security and IG eLearning eAssessment (or you can choose to undertake the full learning module including the eAssessment). Please follow the appropriate option below:
- If you have never completed the module online before this guide illustrates what you need to do
- If in previous years you completed it by eLearning you need to ensure you select the option to "Renew and Play". This guide illustrates what you need to do
- If you have not completed it before, and have not been auto enrolled (as above), you can access the eLearning eAssessment and full module of learning by navigating to the Learning section on ESR. Ensure the drop down menu says "Learning Certification" then type in "439 elearning" and click "Go". Scroll down to find the "439 Information Governance Data Security" module and click on it. Then select "Subscribe", then on the next page "Finish" and then play the module. Access a short guide on how to do this.
Accu-Chek Inform II Glucose meter training
Each year, all users of the Roche Accu-Chek Inform II Glucose testing system are required to re-train in order to keep their competency and renew their user certification. For established users, it is now possible to do this at your own convenience via an e-learning module known as Cobas Academy.
Please log-on to the training using the same 6-digit code you would use to operate the glucose meter. This should be entered as both user code and password.
Please follow the instructions, and print off a certificate for your personal file, if required, on completion. Your certification, enabling you to use the system, will be automatically renewed for a further 12 months.
How do I know what training I need to complete?
- The training you need to complete are highlighted in your Competence Requirements.
- All staff members have different requirements which are based off their job role, as identified by the Policy Leads.
- There are a number of modules that are marked as Core Modules by the Training & Development team, Core Modules need to be completed by all staff, regardless of whether their role is clinical or non-clinical.
- In order for staff to be 100% compliant, they must complete all the modules that are indicated in their Competence Requirements list.
- As each module is completed, you should notice that as you return to your Learner Homepage the module you have just completed has disappeared from your Competence Requirements list as it gets moved into the "Compliance and Competency" folder.
- If staff are 100% then this will mean they will not have any modules listed in their Competence Requirements.
How do I check my Competence Requirements?
- Your competence requirements appear on your Learner Homepage on the left hand side.
- To get to your Learner Homepage, you must go to https:/
/ and log in to your ESR Portal.my.esr.nhs.uk/ - Once you're in your Portal, scroll down on the main page and you should see a box labelled "My Elearning", with "Learner Homepage" listed below, click on this.
- Once on your Learner Homepage if there are any modules listed on the left hand side underneath where it says "Competence Requirements" then you will either need to complete these modules as soon as you can (if they are in Red), or when they are soon to expire (if they are in Yellow).
What do the different colours mean on my Competence Requirements list?
- There are 4 main colours that show up within your Compliances; Red, Green, Yellow and Blue.
- The 2 that will show up on your Competence Requirements are Red and Yellow. Yellow indicates the Competence you currently have is due to expire soon, whereas Red indicates that it either has not been completed yet or has expired. The other 2 colours are signs that you do not need to complete anything else as part of that Compliance.
- You can check these by going onto your Learner Homepage and clicking on "Compliance and Competency" (just below the list of your Competence Requirements).
- Once on your Compliance, you can see the full list of the modules you have completed. If they are marked in Green, then you currently have the Compliance for this and the Expiry Date for it is a significant amount of time way.
- If the Compliance is Blue then this indicates you have the Compliance but this is not necessary for your role, therefore even if it expires you will not be asked to complete it again.
What does the Green corner mean on my Competence Requirements?
- Along with the main colours listed above, you will also notice some of your modules may feature a Green sliver next to their name.
- This green sliver indicates that you are currently Subscribed and Enrolled onto the module, meaning you will be currently set up to play the module.
- If you go to your "Certifications" tab on your Learner Homepage and scroll down. As you scroll down your modules in the Certifications tab you should eventually see the name of the module you wish to complete and a blue play button to the far right which you can click on.
- You may still need to Renew the module before you press play, this option appears 2 columns to the left of the play option.
The module I need to complete just appears in Red on my Competence Requirements. How do I get this module to play?

To play the module if the module appears in block Red on your Competence Requirements, then this means you will need to Subscribe and Enrol yourself onto the module. This is covered in this FAQ, which has been included below:
How do I Subscribe and Enrol onto a module?

The easiest way to do this is to go to your Competence Requirements list and look at where the module you need to complete is listed. To the right of where it is listed is the "Search" column with a small magnifying glass underneath it.

Click on the magnifying glass next to the module you wish to complete. After clicking on this, you are taken to a page where there are a few subheadings, one of which says "Certifications" with the "Certification Name" of the module listed below.

From where the name of the module is, such as "439 elearning Information Governance Data Security" follow along this line until you get to a column marked "Details".

Here there will be a blue box underneath that you can click on. If this Details box is not highlighted, you may just need to Renew the module, the option for this will be highlighted next to the Details column.

If so, click on this instead, then click the option to Enrol, and then Play. Once this Details box has been clicked on, you will then be taken to a page where you can Subscribe.

On the far right, click on Subscribe, then you will be taken to a page where it will give you an option for "Back" or "Finish", click on Finish.
After this you will be given an option to Enrol when you scroll down, click on "Enrol". After this you will be taken to a page where you will see a green triangle which you can click on and the module will begin.
When I get to the page with the green triangle option to play, do I need to play the module?
- You do not need to play the module once you have got to the option to play the module via the green triangle.
- If you followed the instructions in as detailed in Question 6 then you will now be Subscribed and Enrolled onto your chosen module. Therefore if you need to leave your computer screen and then log back into ESR from this point you can access the module from your "Certifications" tab.
- This is located in your Learner Homepage and appears near the middle of the screen, in between where you can see "Enrolments" and "Learning Paths".
- As you are now Subscribed and Enrolled you can go to your "Certifications" tab, scroll down from here until you see the module you require listed.
- To the far right of where the module is listed there will be a blue play button. Click on this blue play button to begin the module.
How do I exit or close a module?
- You always exit every module on elearning through the blue Home button that appears on the top of the screen on the far right side.
- Some modules appear to have more than one Home button, but these should appear on the left and will not save your progress.
- In order to ensure your module is saved when you have got to the end of it, you will need to click the Home button that is in line with the title of the module you are playing.
- This line typically appears in grey with the module title in black and as you follow this line you should see the Home button on the far right side.
- If you do not click this Home button your progress will not be saved. As some modules are National modules they may instruct you to exit the module by closing the browser, however this will not save your progress, so your competency will not be updated and you will be asked to complete the module again.
If a competency has not updated after I have completed the module, what do I do?
- Check to ensure you completed the correct module. You can do this via ensuring you are Subscribed and Enrolled onto the correct module you need (following steps in Question 6).
- If you are sure you have completed the correct module, ensure all the steps within that module have been completed correctly.
- Some modules are marked differently than others. Some require an assessment, while others require that all possible links within them are clicked on before it can be updated.
- Most modules are tracked through several Units within the module which update as you work through them. Some Units are indicated by small bullet point-like circles that appear on the left hand side in a separate column to the module.
- The circles start off as clear white circles, as you work through the module these circles become half-coloured in 'half-moon' circles, this stage indicates you have started the module but have not completed it, it is only when the circle becomes fully coloured in and appears blue that it has been marked as completed.
- All these circles must therefore be fully coloured in (and marked with a small tick inside if there is an assessment) in order for the module to be updated.
- Ensure the home button on the right hand side is always clicked on to save your progress as you exit.
- Other modules require each Unit to be marked with a Green Tick above them. You can check these modules by either clicking on the humanoid figure on the top left of the screen, or the Home button that sometimes appears specifically on the left hand side.
- Once again, all Units must be marked with a tick in order to be updated. Ensure the home button on the right hand side is always clicked on to save your progress as you exit.
Everything is ticked and I've passed the assessment and it still has not updated?
- There can be numerous reasons and factors that could cause this.
- What we would recommend at this stage is taking a screenshot of your computer screen where all the ticks can be seen and then sending this to the Elearning team, cdda-tr.
elearning ,.@nhs.net - The team will be able to look over your module and if they can see that everything is completed then they can potentially update the module for you.
- If they are unable to do this, they will tell you why it hasn't updated and guide you through what you need to do in order to get it marked as completed.
I click to play the modules and they aren't loading on my screen?
- Make sure you are using an up to date modern browser, like Google Chrome or Microsoft Edge.
- If you use a modern browser like these, then your modules should be able to load; however if you use an old browser (namely Internet Explorer) then these browsers do not have the background software support to allow them to play the Elearning modules anymore.
- Another issue can be when you are using a generic account on your computer log in.
- In order to access all your Elearning modules, you must be logged in to the computer and your ESR account, as yourself.
- Using a generic account restricts the access your computer has to be able to access the internet, which many modules need to do in order to load successfully.
How do I get my login for ESR?
- You'll need to go to your ESR Portal (available at my.esr.nhs.uk). Once here, go to "Forgotten | Request Username/Password | Unlock Account".
- From here, type in your email address that is associated with your ESR (typically it will be your home email address if you're still an applicant, or your NHS mail one if you are an Employee).
- Then select your date of birth and click "Submit". A Username will be sent to your email address along with a link that once clicked on allows you to set your Password.
- You can then use the Username given in your email address along with your newly set Password to access ESR.

We advise staff to enrol onto eLearning by using your personal learning matrix which can be found on your Electronic Staff Record (ESR).

- All ESR eLearning must be completed using Google Chrome or Microsoft Edge to ensure the modules play and complete properly.
- To access ESR using these platforms staff must use their ESR username and password, not a smart card.
